Race Terms & Conditions

The SheRACES Trail Series is a women-only event, designed to enable all women to have a start line and to access trails in a safe, secure and empowering way. 

 

General Terms 

 

There are no cut-offs on the course and, as long as you are making meaningful progress, we will support you to finish the distance of your choosing. However, should it be unsafe for you to continue for any reason, we may need to make the decision with you to end your race – this would be an extreme exception though, as we had a 100% completion rate in 2025. 

 

If you feel unwell or are injured in the lead up to the race or on the day, you should not take part, or seek advice from a doctor. 

 

Each participant enters at their own risk and no person(s) or organisation(s) can be held responsible for any accident, injury or loss, prior to, during or after the event. By entering this event, you acknowledge that SheRACES or any other party involved in the planning or production of this event shall be liable for death, injury, loss or damage arising from participation, unless it is caused by our negligence. 

 

We reserve the right to delay, postpone, cancel or amend the course in the event of adverse weather conditions, or due to other events outside our control. 

 

Deferrals / Refunds / Transfers 

 

Pregnancy & New Parent Policy 

If you enter the event and are unable to take part due to pregnancy, please contact us for a full refund of your entry fee. This policy also applies to those undergoing IVF, adoption or surrogacy, as well as those with a partner due to give birth close to the event date. Transfer Policy 

If you are unable to attend the event for any other reason other than pregnancy/new parent (see policy above), you are able to transfer your place to another person up to two weeks before the event date. The deadline for transfers is 21st June 2026. You should be able to do this via your RaceNation account. Please contact us on hello@sheracestrailseries.com if you have any problems. We may not be able change the size of t-shirt ordered if the transfer is made close to the event, but we’ll do our best. 

 

Deferrals/Refunds 

Race places are non-refundable and non-deferrable as standard. However, you can transfer your place up until the date specified above, and we have exceptions for those who are pregnant or becoming a new parent – see the policy above regarding a full refund. RaceNation also offers optional insurance at the point of registration if you wish to protect your entry against unforeseen circumstances or injury. This is not administered or organised by SheRACES or our partners. 

 

Image Use / Data Collection 

 

We will have photographers and videographers capturing the event to provide you with some great pictures, as well as give us promotional material to publicise the event. By taking part in the event, you grant us – and any third parties authorised by us – permission to use any photographs or videos from the event on our website, social media, in marketing materials, in the media and in any other way we deem suitable to promote or support the event. If you need an exception from this, for whatever reason, please contact us in advance of the event on hello@sheracestrailseries.com

 

You also grant us permission to publish certain personal information as part of the results of the event, which may include your name, age category, race times and club affiliation. This information may be passed to the governing body or affiliated organisation for the purpose of insurance or licenses. Your entry information will be shared with our logistical parties for the sole purpose of running the event, and to our event timing partner to be able to track you on the day. We will also need to share all relevant information and medical details with our medical team on the day for your safety.
